SCOPEThis Section of the Quality Assurance Manual details AVO New Zealand's Quality Policy, it's objectives, responsibility and authorities of all personnel to ensure effective implementation and maintenance of the Quality System in accordance with ISO 9001:1994. CONTENTS01.01 Quality Policy 01.01 Quality PolicyAVO New Zealand is committed to providing customers with quality service. We will identify our clients, determine and agree upon their requirements, and supply services and products to the agreed standard, every time. It is the policy of AVO New Zealand to have an effective Quality System in place to comply with ISO 9001:1994. AVO New Zealand is dedicated to the ongoing development and improvement of this Quality System with total staff involvement. The Directors and Management of AVO New Zealand have committed themselves to lead and support the development and maintenance of the Quality Process for the benefit of customers, staff and the Company. 01.03 Responsibilities & Authorities of PersonnelSCOPEThis procedure details the responsibilities and authorities of personnel in accordance with the requirements of ISO 9001:1994. AVO New Zealand practices a Matrix Management Concept at the management level directly under the Managing Director resulting in a management "team" approach as an additional enhancement to the descriptions below. 01.03.01The Managing Director is responsible and has the authority for the overall effectiveness of AVO New Zealand Operation, as defined in his Position Description, so as to ensure shareholder and performance objectives are achieved. The Managing Director also assumes product responsibilities as defined in his position description. The Managing Director reports to the Board of Directors. In his absence the General Manager will assume the aforementioned authority and responsibilities. 01.03.02The Quality Manager is responsible and has the authority for the implementation, maintenance and running of the Quality Assurance Programme in accordance with ISO 9001:1994. The Quality Manager reports on the performance of the Quality System to Managing Director and may liaise with external bodies on matters pertaining to the Quality System. In the absence of the Quality Manager, the General Manager will assume the aforementioned authority and responsibilities. 01.03.03The General Manager is responsible and has authority for the overall financial, commercial and personnel management of AVO New Zealand, as defined in his Position Description, so as to ensure optimum profitability, a harmonious and efficient workforce and an efficient management structure is achieved. The General Manager is also responsible and has authority for the overall implementation, maintenance and running of the Annual Marketing Plan, as defined in his Position Description, so as to ensure the company handles the most appropriate products in the most efficient manner to ensure optimum return on investment. The General Manager is also responsible and has authority for the initial implementation of marketing strategies/policies/procedures and the performance of the field sales staff of the Christchurch, Auckland, Wellington and Dunedin Branches, as well as interim Product Management duties relevant to the establishment of new product ranges in the market place, as defined in his Position Description. The General Manager also assumes Product Management duties as defined in his Position Description. The General Manager reports to the Managing Director. In his absence, the Managing Director will assume the aforementioned authority and responsibilities. 01.03.04The Commercial Manager is responsible for the financial and commercial transactions of AVO New Zealand. The Commercial Manger reports to the Managing Director. In his absence, the General Manager will assume the aforementioned authority 01.03.05AVO New Zealand recognizes it's responsibility to identify and provide adequate resources and assign trained personnel to perform it's operation. 01.03.06Position Descriptions can be found in the ISO Staff File, held by the General Manager. 01.03.07All staff are responsible for performing their duties in compliance with their Position Descriptions and all documented procedures. 01.03.08All staff are responsible for projecting a professional image at all times. 01.04 Management ReviewsSCOPEThis procedure details the Management Meetings held to review the Quality System. 01.04.01Monthly Management Meetings, scheduled by the Quality Manager are held to review the Quality System. These monthly reviews cover all aspects of the Quality System including new procedures, changes to existing procedures, outstanding/completed Corrective Action Requests, complaints, staff training, internal/external audit findings and any other miscellaneous quality related matters. 01.04.02All appropriate staff members are informed of any changes to the Quality System resulting from Review Meetings. 01.04.03Minutes of all Review Meetings are recorded by the General Manager and held by the Quality Manager. The minutes show that the Quality System is still appropriate, suitable to requirements and in line with regard to ISO 9001:1994.
